A reservation becomes effective upon submission of an online registration form. Surf camp participants will receive a reservation confirmation along with tips on how to prepare for their trip.
The company reserves the right to confirm a reservation within 24 hours of receiving the online registration. Payment must be made promptly, depending on the selected payment method, as instructed. The company reserves the right to cancel any unpaid bookings if the payment or proof of payment is not received within the specified timeframe.
To secure the booking, full payment is required via bank transfer or any other available payment method stated in the reservation confirmation. Any bank transfer fees or currency exchange fees are to be borne by the participant.
In addition to our own Green Room Hotel surf camps in Seminyak, Canggu, Weligama, and Hiriketiya, we also collaborate with local partners in Bali and Sri Lanka that meet our professional quality standards. However, not all camps listed on our website are owned directly by the company.
Guests wishing to transfer between our camps may do so without an administrative fee, provided the change request is submitted via email at least three weeks before arrival. All changes are subject to availability and any price differences at the time of the change. Any increase in price must be paid by the customer.
On Nyepi Day (a public holiday in Indonesia that falls in February or March), no one is permitted to leave the camp premises, and no surf sessions will take place. Each camp will provide a special schedule for that day.
Airport transfers can only be guaranteed if flight details (flight number, arrival time, and airline) are provided to our reservations team at least 48 hours before arrival.
Unless a private room is booked with a single-use surcharge, accommodations will be shared with other travelers and may include both male and female guests. There are no gender-specific rooms available.
Add-ons booked prior to arrival can be canceled free of charge only if no cost has already been incurred by the company. Custom-shaped surfboards cannot be canceled once booked.
All surf packages include surf guiding to various spots around Bali and Sri Lanka. Surf guiding takes place in the morning and afternoon, with participants able to join two sessions per day, subject to availability, except on check-in and check-out days. Each session is limited to 6 participants.
Surf guiding includes: Transportation to the surf spot, a briefing by one of our surf guides, in-water guidance.
Theory lessons, video analysis, and surf session footage (where available) are also included in the package.
The company does not provide lessons for absolute beginners. However, we can assist in organizing beginner lessons through our partner surf school in Bali. These lessons are not included in the package and must be paid for separately.
Surf equipment (e.g., surfboards, wax, leashes, sunscreen) is not included in the package price but can be rented or purchased upon arrival.
In the case of public holidays, team events, or adverse weather conditions, surf guiding may not be available. The camp will organize an alternative activity, subject to feasibility and in accordance with local laws and weather conditions.
Check-out is at 12:00 noon. Late check-out is subject to availability and may not always be possible. Check-out between 12:00 and 18:00 will incur a charge of 50% of the nightly room rate. Check-out after 18:00 will be charged at 100% of the nightly rate.
Each participant confirms that there are no medical conditions preventing them from actively participating in surfing activities.
Participants must be at least 18 years old. For those under 18, parents or legal guardians assume full responsibility and agree that the company is not liable for any damages or injuries that may occur.
Kima Surf shall not be held liable for any personal injuries sustained by participants. For all other damages not involving personal injury, the company’s liability is limited to three times the total package price.
The company is not responsible for the loss of, or damage to, participants’ personal property (including, but not limited to, surfboards). Participants are strongly advised to arrange their own travel, baggage/surfboard, and health insurance for the duration of their trip.
All equipment and vehicles provided by the company must be handled responsibly. In cases of negligent or intentional damage or loss, the participant will be held liable for the resulting costs. If a guest causes damage to a vehicle in Indonesian or Sri Lankan traffic, the cost of repairs will be equally shared among all guests traveling in that vehicle.
The participant acknowledges that Kima Surf is not liable for any injury, damage, loss, or delay that may occur during organized Kima Surf activities or while on camp premises. Participation in all activities is undertaken at the participant’s own risk. Kima Surf is released from all liability for personal injuries, including death, whether resulting from negligence or otherwise, for the entire duration of the trip.
The participant acknowledges that Kima Surf shall not be held liable for any actions or omissions of third parties, including third-party service providers, that may result in loss, damage, cost, expense, delay, injuries, including death, whether caused by negligence or otherwise, during the entire duration of the trip. This includes but is not limited to accommodations, transportation, and any other services arranged by third parties.
The participant acknowledges that they are responsible for complying with all obligations, rules, and instructions provided by Kima Surf. Kima Surf shall not be liable for any loss, damage, cost, expense, or delay suffered or incurred due to the participant's failure to comply with any of their obligations, including but not limited to safety guidelines, activity instructions, or any other requirements communicated by Kima Surf.
The participant acknowledges that it is their sole responsibility to possess, obtain, and maintain all necessary travel documentation required for the trip, including but not limited to valid passports, visas, health certificates, and any other documents as required by the relevant authorities. Kima Surf shall not be responsible for any loss, damage, cost, expense, or delay suffered or incurred due to the participant's failure to possess, obtain, or maintain the required travel documentation.
The participant acknowledges that it is their responsibility to follow all reasonable instructions provided by Kima Surf, including but not limited to specified check-in and check-out times, meeting places, and any other instructions related to the activities or the trip. Kima Surf shall not be liable for any loss, damage, cost, expense, or delay suffered or incurred due to the participant's failure to follow reasonable instructions provided by Kima Surf.
Guests may cancel their Kima Surf booking at any time prior to the start of their stay. Cancellation fees vary depending on the timing of the cancellation. A booking is only considered cancelled once written notice has been received by Kima Surf. The effective date of cancellation is the date on which the notice is received.
28 days or more before arrival: 10% of the package price (non-refundable)
14–27 days before arrival: 30% of the package price (non-refundable)
7–13 days before arrival: 60% of the package price (non-refundable)
2–6 days before arrival: 90% of the package price (non-refundable)
1 day before arrival or no-show: 100% of the package price (non-refundable)
Cashback: A refund is possible if Kima Surf successfully resells all beds in the camp for the unused nights, resulting in full occupancy.
Voucher: May be granted at the discretion of Kima Surf if all beds in the same category are successfully resold.
Transfer: Guests may transfer their booking to another person. Adjustments will be made by the sales team, while payment arrangements are to be handled between the guests.
A replacement participant can be provided. In this case, as in the case of any reservation changes, an administration charge of 50€ has to be paid.
Cultural Excursions: Cultural excursions in all camps are subject to a 20% cancellation fee on the total value of the excursion after payment has been made.
